Thank you for your support, the Notion system was really well built, with every little detail that we needed, like the gas and electricity supplier details. We appreciate you giving us the 30 days warranty for our system, so we could implement it in our daily workflow with your help!

NRR Properties manages a portfolio of commercial and residential properties across England. Leases lived in spreadsheets, tenant communications happened via email, compliance documents had no central home, and finance reporting was done manually. We built one Notion system to replace all of it.
NRR Properties had grown organically and so had its systems, or lack thereof. Lease agreements were tracked in spreadsheets that nobody kept fully updated. Tenant communications happened through personal email with no central log. Compliance documents like gas safety certificates and EPCs were saved in folders with no expiry alerts.
Rent payment status was tracked manually each month. Finance reporting for the accountant meant pulling together data from three different places.
The bigger risk wasn't inefficiency it was compliance.
A missed gas certificate expiry or an unrenewed lease isn't just an inconvenience; for UK landlords it carries legal liability. The team needed a system that would proactively alert them before anything expired or fell through the cracks.
We ran a structured requirements process working through 13 functional requirements covering documents, expenditure, dashboards, communications, and archiving and built a phased Notion operating system from scratch.
The architecture was built around a central Property database, with linked databases for Tenants, Leases, Documents, Expenses, Invoices, Tickets, and Contacts. Every record connects. When you open a property, you see everything linked to it. When a document expiry date approaches, it surfaces on the dashboard automatically.
Where Notion couldn't do something natively (like automatically emailing tenants or monitoring regulatory changes), we designed simple manual workflows and documented them clearly so the team knows exactly what to do and when.
NRR Properties already had the data — it just lived in the wrong places. Notion made sense because it could replace all five tools in one workspace without adding new software costs. Everything could be linked: a property connects to its tenants, leases, documents, expenses, and tickets in one place. And because compliance deadlines and lease renewals are date-driven, Notion's built-in date logic could surface expiries automatically — no manual checking, no missed renewals.

9 databases, seamlessly connected. Every part of the Notion system links to everything else. A property links to its tenants, leases, documents, expenses, invoices, and tickets — all in one connected database architecture.
Every property as a full record — address, type, unit details, linked tenants, documents, and completion checklist.
Tenants, repair contractors, solicitors, mortgage providers — all in one contacts database with linked properties.
Every lease, gas certificate, EPC, and insurance document stored and linked to the relevant property with expiry tracking.
Monthly rent status per unit — Paid, Due, Overdue — with color coding and dashboard roll-up view.
Log all costs per property — mortgages, repairs, insurance. Filter by property or tax period for accountant-ready exports.
Invoice database with branded templates for rent, insurance, and gas certificates. Fill, export to PDF, send manually.
Linked views showing rent status, expiring documents, vacancies, and open tickets — all color coded.
Task tickets linked to properties, tenants, and documents. Open, In Progress, Closed statuses at a glance.
Archived items stay in Notion but are filtered out of daily views. Clean workspace, full history.
NRR Properties went from a scattered collection of spreadsheets, email threads, and folders to a single operating system where every property, tenant, document, and task lives in one place and links to everything else.
The dashboard gives the team a live view every morning rent status, expiring certificates, upcoming lease renewals, and open tickets. Nothing is missed. Nothing is forgotten. And because the system is built on free native Notion features, there are no additional tool costs.
Property management fails when information lives in isolation. A spreadsheet doesn't know about the lease. An email thread doesn't connect to the property. A folder doesn't alert you when a gas certificate expires. The fix isn't more tools — it's one system where everything links to everything else. That's what we built here. Open a property in Notion and the full picture is already there — tenants, documents, rent status, open tickets. Switch between nothing, search for nothing, miss nothing.
We design custom Notion systems based on how you actually work, not generic templates.

No. The system is built to be intuitive from day one. Everything is linked and labeled so you can open it and understand it immediately. Plus we also film videos of the dashboard with instructions.
Yes. That's exactly what it was built for. One Notion workspace replacing lease spreadsheets, manual rent tracking, and scattered document folders.
Expiring documents surface automatically on the dashboard. Gas certificates, EPCs, insurance documents, electricity documents etc.
Yes. The entire system runs on the Notion free plan with no paid integrations, no extra tools, no additional software costs.
Yes. This system handles different property types within the same workspace.
Notion is GDPR compliant and data stays within your workspace. We'd recommend reviewing your own data policies, but for most landlords storing tenant contact and lease information in Notion is perfectly fine.
Every new property just gets added as a record and automatically connects to the rest of the workspace. No rebuilding needed. We build every system to support your growth.
